CHANGE IN WORK SCHEDULE When an employee is permitted by his/her supervisor to take courses at a nearby college, university, or other educational institution, the employee's work schedule may be adjusted to permit presence at classes. A work schedule adjusted for this reason does not entitle the student to any differential or additional pay which would result solely from the rescheduling [SSH 1200, 610-4]. SAO's regular workday is 8.5 hours per day, Monday thru Friday. HR requests course training be received 2-3 weeks (14-21 days) prior to the class start date. NO EXCEPTIONS WILL BE MADE FOR REQUESTS RECEIVED AFTER THE START DATE OF A COURSE. TRAINING FORM REQUIREMENTS: With each training form (and this includes group registrations), please provide a copy of the educational institution's/vendor's course catalog, pamphlet or flyer which indicates (1) course description, dates and times of course, and (2) cost. (3) Include a memo if insufficient space in #16 to identify training objectives and benefits to be derived by the Government. (4) Change in Work Schedule (if necessary) (5) Requests received without the appropriate backup documentation and signatures will be returned by HR for completion. Complete and TYPE Training form. Directions for completing the training form are on the back of the last copy of the carbonsette or Page 6 of 6 on the e-form. e-form users are to print Page 1 only. Staple the above items to your Training form. Once all those in HEAD sign off and assign an appropriation number, the signing financial administrator's office will send the original and 3 copies to HR for processing through Human Resources, Fiscal, and Purchasing. REMINDER: Tuition assistance for the sole purpose of obtaining an academic degree or certificate is not authorized for funding by the Smithsonian. FOR REIMBURSEMENT, follow HR's guidelines in http://cfa-www.harvard.edu/cfa/hr/handbook/tuition.htm How a Leave of Absence/Resignation affects tuition reimbursement. ================================================================ The rule is that upon completion of the course for which the employee received tuition reimbursement, the employee must work three times the length of the course (course hours), but no less than one month, or repay the tuition assistance to SAO. If the employee does not return to work at SAO or if the employee returns to work for less than one month after a leave of absence, the employee will have to repay the tuition reimbursement money, unless repayment is waived. The bureau director is the only one who may approve such a waiver. The Division via the DA/AD will be responsible for submitting a written request to the Bureau Director to waive a repayment.
